Check-In Desk / Barcode Reader

The QReserve Check-In Desk is an easy way for users to check resources in and out (electronic equipment, books, etc). This feature works alongside a standard barcode scanner that you can easily find for purchase online.


With this feature, you can scan both user ID cards, or the resources themselves.  



How to begin

Barcodes and QR Codes
For both users and resources, you have the option of inputting your own barcodes, or using the QR codes that QReserve generates (note that the QR codes will only work with a 2D barcode scanner)



Setting up Barcodes for Users and Resources

Both resources and users have a Barcode Property. 

Users
For users, it's located under a user's Identifiers and Records tab from the Administration > Users window. If you already have a barcode associated with a user (ex an ID card) you can scan that ID and it will populate into the Barcode field. When the ID is scanned at the Check-In Desk, it will be associate with that user.

As mentioned above, you can alternatively use the QR code that has been generated by QReserve found when you click "View QR code in separate window".  


Resources

For resources, the Barcode Property can be found under the resource's profile in the Barcodes tab. Add the resource's barcode by clicking to edit the barcode field and scanning the barcode into the system.

Your resource must be set to Loanable. To do this, visit Reservations > General and set the resource to be Loanable. You can also choose Loan Options from here.


How to use the Check-In Desk

Once a barcode has been added to at least one resource, the Check-In Desk page becomes available from the site page. Access it from the button in the top right corner of the page - Check-In Desk.



Checking out / borrowing a resource

There are two ways to start the check out process. You can either scan the borrower's ID first or scan the resource.

Scanning the borrower's ID first

To begin the check-out process scan the ID of the borrower (or manually search the borrower's name) and click "Start a new loan for user".


Next, scan the items the borrower is checking out. You can scan multiple items.

Finally click "Check Out". Now the items are checked out.

B. Scanning the Resource First
You can also begin the check-out process by scanning the item that is being borrowed (or manually search the item's name) and choose who is borrowing the item. Once the checkout process has begun you can scan more items to add to the reservation.


Finally click "Check Out". Now the items are checked out.
The system will then restart and will be ready for the next user. 


Checking in / returning a resource


You can scan the borrower's card, or search their name, to see what items they are currently borrowing. You can return their items from here.



You can also scan the item and return it from the item page.
