Over-budget approvers allow your users to spend freely within the limits of an account and then have over-budget spending requests go to supervisors or account holders for an additional approval step.
Creating a User Approver
Over-budget approvers operate in a similar fashion to regular approvers with the added constraint of only being applied to a reservation when that reservation would push a user's account over-budget.
Option 1: Adding Approver by User
- On your Users page in Administration, click on the pencil icon next to the user you want to add an approver to.
- Click the + symbol next to User's Reservations are Approved By and either select a user from within your site, or if the approver is not yet a member of your site, enter their email address into the selection field.
- To limit the approver to only being instantiated for over-budget requests, select the Only approve account overages option.
Option 2: Adding Approver by Approver
- Ensure your approver is already a member of your site or add them if needed.
- On your Users page in Administration, click on the pencil icon next to the approver.
- Click the + symbol next to Approves Reservations For These Users and either select a user from within your site..
- To limit the approver to only being instantiated for over-budget requests, select the Only approve account overages option.
- Repeat this procedure to add multiple users to this same approver.
Approval Process
For any reservation requests that will not cause a user's spending account to go over-budget, approvers added in the above fashion will not be required to approve requests. For any reservations over budget, the above approvers will automatically be added to the reservation requested approval process.
Note: If a resource is set to require the approval of Any Approvers instead of All Approvers then a reservation will be approved if a resource level approver approves a reservation prior to the user's over-budget level approver; however, if any approver denys a reservation, including the budget approver, then that denial will override any other approver.
